How do I review contractor expenses?
Company admins with access to invoices can review a contractor's expenses and, where available, the invoice the contractor has attached to them. Keep in mind that invoices are optional attachments uploaded by the contractor. There is no separate view that displays an invoice if the contractor hasn't attached one.
If the contractor added value-added tax (VAT) to their invoice, the invoice overview page also shows the VAT breakdown, including the net amount, VAT rate, and VAT amount. You can review this alongside their expenses.
- Go to the Contractor Payments tab and click Invoices.
- To find invoices that include expenses, apply the Contains expense filter.
- In the invoice row, open the three-dot menu and click View Invoice. The invoice overview page shows a breakdown of the invoice items, including expenses. If the contractor added VAT, the overview also shows the VAT breakdown.
- Review the invoice and the attached expense receipts.
- Approve or decline the invoice. When you approve or decline the invoice, you also approve or decline the associated expenses. All approved and declined expense receipts are also available in the Expenses tab for reporting purposes.
- Once the invoice is marked as paid, all associated expenses are marked as Reimbursed.
Contractors can add VAT to an invoice that also includes expenses. In this case:
- You review, approve, and decline expenses the same way as on any other invoice.
- Expenses aren't automatically included in the invoice's VAT amount.
