How to invite multiple contractors at once
Temitope Olamolu
With this feature, company admins can invite multiple contractors at once to their Remote account rather than inviting them one by one.
- Go to the Team tab and select Onboarding.
- Click on Add new and then select Add multiple hires.
- Select Contractor under section Who would you like to add?
- To make the process of inviting contractors easier, we recommend that you use our template by clicking on the CSV template link as it already contains the fields required to add multiple contractors at once.
- Populate the template with the contractors' information.
- When filling out the Country code (alpha-3 code) field, use the dropdown provided in the template to fill in the appropriate country code.
- Save the completed template as a comma-separated values (CSV) file using UTF-8 encoding (CSV UTF-8). Keep the template's column headers unchanged. Excel and Google Sheets can reformat dates when saving, for example to dd/mm/yyyy, so check that the date columns still use yyyy-mm-dd before uploading.
- On the Remote platform, upload the CSV file and see upload results.
- Remote validates the file. Before continuing, check the following requirements. Keep the template's column headers unchanged.
Required fields: - Full name: required for all countries.
- Login email type: required for all countries. Enter
personalorwork, not an email address. - Personal email: required when Login email type is
personal. - Work email: required when Login email type is
work. Use a company email address. Remote rejects free email domains such as Gmail, iCloud, Outlook, and Yahoo. - Country code: required for all countries. Use the three-letter country code (alpha-3).
- Job title: required for all countries.
- IR35 status: required for the United Kingdom. Enter
Inside,Outside, orExempt. - Nationality: required for Saudi Arabia. Enter
NationalorNon-national.
For example, if a contractor does not have a company email address, enter
personalin Login email type, enter their address in Personal email, and leave Work email blank.Optional fields:
- Contractor rate: use a dot as the decimal separator, for example
54.21. - Contractor rate currency: use a three-letter ISO 4217 currency code. If blank, Remote uses the company's billing currency.
- External employment ID.
- Service start date: use
yyyy-mm-dd, for example2026-11-01. If blank, Remote uses the upload date. - Service end date: use
yyyy-mm-dd. The end date must be after the start date. - Period unit: enter
hourly, daily, weekly, monthly, orone_off. If blank, Remote useshourly, so fill in this field whenever the rate is not hourly. - Contracting/engaging entity and Billed entity: enter the legal entity names exactly as they appear in Remote. If blank, Remote uses the company's default entity. For multi-entity uploads, fill in both fields or leave both blank on each row.
Other validation requirements:
- The file must be a comma-separated CSV file.
- The maximum file size is 20 MB.
- Each field must contain no more than 255 characters.
- Email addresses must be valid, and the user's email must not already exist on Remote.
- Remote must support contractor payments in the selected country.
- Once the file is uploaded, you can preview the results.
- The preview page is broken up into two sections:
- The errors table: From the expanded table view, you can hover over the field with an error to view the exact error message. You can export the errors table and make the necessary changes.
- The valid users table: From this table, you can search by email, filter by country name or delete rows.
- To proceed with inviting the contractors in the valid users table, click on Confirm.
- By clicking on Invite now the invitation process will begin. Please note that this step cannot be reversed.
- Track the progress of the invitations. If any invitations fail, export the failed rows as a CSV file. To proceed with the successful invitations, click Continue. The contractors should then receive a Remote invitation in their inbox.
After a partial upload, fix the exported failed rows and upload only those rows. Do not upload the entire original file again, as this can create duplicate contractor accounts. - If you want to send contractor agreements, you can create contractor agreements afterwards.
