How do I set up Slack notifications via Workflows?

With Workflows, you can automate Slack notifications triggered by specific actions taken by team members. This guide will walk you through setting up notifications, troubleshooting issues, and making the most of this feature to streamline your HR processes.

Note on data protection: When setting up Slack notifications, be sure to include only the necessary personal information to maintain data privacy and comply with regulations.

How to set up Slack notifications:

This will post a message to a Slack channel when the workflow has been triggered. To set up this action: 

  1. Create a new workflow
  2. Configure the workflow trigger
  3. In the Action box, select Slack from the Select application drop-down
  4. If you aren't connected to Slack, you'll be prompted to connect. For help, check out How do I enable the Slack integration?
  5. By default, the Action event will be set to Send message
  6. Search for the Slack channel where your message will be posted
  7. Type the message that you would like to be posted.  You can incorporate data related to the trigger by typing "/" to see the available fields you can use.  
  8. Click Set up action

Example: [Preferred name] has requested time off from [start date] to [end date]. Notes, if any: [notes].

Posting to private Slack channels

By default, all public Slack channels will be listed in the Slack channel drop-down.

If you would like to send a message to a private Slack channel, you must first add the Remote Slack app to the private channel. To do this:

  1. In Slack, go to the private channel you would like to use for Workflows
  2. Type "@Remote.com" in the message box and press Enter
  3. Invite @Remote.com to the channel
  4. You will now see the private channel in the Slack channel drop-down

Note: Once added, the private channel will show up in the drop-down for all users that can build workflows. Therefore, make sure sensitive information isn’t displayed in the private channel name.

Troubleshooting

If your organization has hundreds or thousands of Slack channels, our system may be unable to fetch the list of channels.  If this occurs, you will be asked to enter a Slack channel ID.  To find your Slack channel ID: 

  1. In Slack, navigate to the channel that you'd like to use in the workflow
  2. Next to the channel name at the top, click on the down arrow to open the informational modal
  3. Scroll to the bottom of the About tab
  4. Copy the Channel ID

If you have set up a workflow using Slack, but don't see a Slack message posted when the defined trigger occurs, check the following: 

  1. Is the Slack integration enabled? 
  2. Have you published the workflow? 
  3. Are you certain that a trigger event occurred after you published the workflow? 
  4. Are you checking the correct Slack channel?
