QuickBooks is a powerful accounting software designed primarily for small and medium-sized businesses. It helps manage business payments, processing and payment of bills, and handle payroll functions with ease.
Remote now integrates with QuickBooks to seamlessly synchronize Employer of Record (EOR) details from Remote to the QuickBooks platform. This integration ensures that employee invoices are synced as a Bill in QuickBooks, minimizing the risk of manual data entry errors and expediting the book-closing process by automatically importing relevant employee invoice data.
Is this integration right for me?
Before setting up the integration, it’s essential to understand how the data syncs and whether it aligns with your business needs.
- Remote syncs EOR employees, their respective personal information, and their invoice information.
- The direction of this sync is one-way from Remote to QuickBooks.
How to enable and set up the integration
To configure this integration, ensure you have the correct user permissions in both Remote and QuickBooks.
- In Remote, you need to have either a Company Owner or Super Admin role to enable the integration.
- In QuickBooks, full admin-level user permissions are required to set up the integration.
Also, ensure that your QuickBooks home currency matches your Remote company currency. QuickBooks requires these exchange rates to be specified when syncing invoices. Currently, Remote only supports the currency designated as home currency in QuickBooks.
To enable the integration, follow these steps:

Log in to Remote. Navigate to Company Settings > Integrations > Integrations & APIs.

Search for QuickBooks and click the Add button.

Click on Add to Remote.

On the popup screen, you will be asked to Connect to QuickBooks. Click on the button.

This will take you to the QuickBooks App Store to connect Remote to your QuickBooks account. Click Connect to proceed.

Upon successful connection, you will be redirected to the Remote platform to the following message. Click on the Go to settings button to start configuring invoices.

On the settings page, under Settings, switch to Remote invoices.

Here, the first section is dedicated to your Legal entities. Remote automatically maps all registered legal entities to the company you connected through QuickBooks. The View mapping button shows you the list of all your legal entities mapped to a single QuickBooks company.

Next up, to match employee invoices, click on the Map invoices button in the Remote invoices section.
You have two invoice breakdown options:

Standard breakdown syncs invoices as they appear. If this option suits your needs, then from the Select invoice breakdown preferences page, choose Standard breakdown and click on Continue.
From the QuickBooks account dropdown, map each invoice item to the correct account and click on Continue.
Next, select a default QuickBooks account that Remote can map to whenever a new line item is added to an invoice. Click on Save when done.
This will save your account mapping configuration for Standard breakdown.

Breakdown by department maps employee level costs for each team department. To opt for this option, select Breakdown by department from the Select invoice breakdown preferences screen. Click on Continue.
Map each item under every department to its QuickBooks account and click on Continue.
Next, select a default QuickBooks account that Remote will map to on every new invoice line item. Then click Save.
This will save your account mapping configuration per department.

Enable invoice sync
Remote provides an option to automatically sync invoices on your behalf. If you enable this feature, all paid invoices in Remote will be automatically synced to QuickBooks every 24 hours.

Go to your QuickBooks integration page. Navigate to Settings > Remote invoices.

Toggle the Automatically sync reconciliation and pre-funding invoices option to enable this feature.
How to disable the integration
If you want to remove the Remote ↔ QuickBooks integration,

On the Remote platform, navigate to the QuickBooks integration tile under the Integrations section.

Click on the Remove integration button.

On the confirmation popup, click on Delete integration to disconnect your QuickBooks integration from your Remote.
Frequently asked questions
What data is synced from Remote to QuickBooks?
EOR prefunding and reconciliation invoices will be synced as Bills to QuickBooks, following the account mapping configuration. We will create vendors for the entities that issue EOR invoices and sync those invoices in as Vendors and Bills to QuickBooks.
When are invoices synced to QuickBooks?
EOR invoices are synced to QuickBooks as soon as they are posted in Remote.
My data is not syncing correctly
