Understanding your team’s trends with the Headcount Over Time report

The Headcount Over Time Report helps you track how your organization's headcount is evolving. With dynamic filters and clear visualizations, this report shows the net change in employee numbers over a selected time period—whether you're growing, maintaining, or experiencing turnover.

This is only available to HRIS customers

This report is particularly useful for People, HR, and Finance teams looking to monitor workforce trends, analyze joiner and leaver activity, and report on growth by department, country, tenure, or other attributes.

How to access the report

  1. Log into your Remote account.
  2. In the left-hand menu, go to Reports & Analytics.
  3. Click All reports, then select Headcount Over Time.

Filters

Standard Filters (Single-Select)

  • Segmented by: Choose how you want to group the data (e.g., by Department, Country, Job Level).
  • Date Range: Last 12 months, 6 months, 3 months, or select a Custom Range.
  • Time Aggregation: Group data Monthly, Quarterly, or Yearly.

Report-Specific Filters (Multi-Select)

  • Department, Country, Job Level, Tenure, Gender, Role, Leave Type, Manager, Employment Type, Employment Status.

Default view: last 12 months, segmented monthly, grouped by the first available filter.

 

What the report shows

Chart

The report features a line chart showing your organization's ending headcount trend over time. You can segment this view by various filters (e.g., Department or Country) to explore changes across different dimensions.

Headline metrics

These change based on the filters and time period you choose:

  • Ending headcount: Employees active at the end of each period (with % change).
  • Joiners: New employees who started during the period.
  • Leavers: Employees who left during the period.
  • Net change: Joiners minus leavers—shows growth or reduction.

🔎 Metrics show actual numbers, percent changes, and trend indicators like arrows or color.

Data Table

Below the chart, you'll find a detailed table containing:

Metric Description
Starting Headcount Headcount at the beginning of the period
Joiners Employees who joined during the period
Leavers Employees who left during the period
Ending Headcount Active employees at the end of the period
Net Change Joiners minus Leavers

Frequently Asked Questions (FAQs)

Who can see this report?

Only users with “HR Reporting” permissions can access it. If you can't see the report, check with your company's Remote owner to confirm your access level.

Why doesn't my headcount match what I expected?

Check your filters—especially "Department." Make sure the time aggregation is set correctly.

Can I view more than 12 months of data?

Yes! Use the "Custom Range" option in the Date Range filter.

Why is the chart not showing data for some months?

If no joiners or leavers were recorded in a given month, the chart may appear flat or show gaps. Otherwise, try resetting the filters using "clear".

Can I export the chart as an image or PDF?

Yes, you can export the data table as a CSV file or png image via the "Export" option, at the top of the report page.

What does 'Net Change' mean in this report?

Net Change = Joiners minus Leavers. A positive number means your team grew during that period; a negative number means it shrank.

Why do some filters appear or disappear?

Filters update dynamically based on your organization's data. If no data exists for a specific attribute (e.g., no roles assigned), that filter may not show up initially.
