Invoice scheduling for Contractor of Record

Companies using our Contractor of Record (COR) service can now schedule invoices for contractors while maintaining compliance.

How invoice scheduling works for Contractor of Record

Company admins can create bulk one-time invoice schedules for active Contractor of Record (COR) contractors. For these schedules to be processed, contractors must accept them and upload their own PDF invoices. Note that individual COR schedules and invoice scheduling during contractor onboarding are not currently supported.

Important details:

  • Invoices created from schedule only become visible to company admins only after Remote's approval
  • The schedule status automatically changes to "Completed" once the contractor uploads their PDF. Additional information about the latest invoice created from this schedule is displayed, making it clear that while the schedule is completed, the invoice approval flow is still in progress.

How to schedule an invoice for Contractor of Record

  1. From the Contractor payments section, select Schedules and click on Create invoice schedule then choose Create schedules in bulk.

  2. From the Product selection page select Engaged by Remote’s entity and click Continue
  3. On the next page, choose the COR contractors you want to generate a scheduled invoice for. Based on this, the Generate CSV file button will appear which you should click on to download the CSV. The pre-filled data includes Name, Employment ID, and Contractor Rate.
  4. Fill out the CSV file, then click on Continue.
  5. Upload the CSV file.
  6. After uploading the CSV file, we will validate the CSV file and identify any rows with errors. You can now edit all rows directly inline, including fixing any validation errors, without needing to export and re-upload the data..
  7. Once you've reviewed and edited any necessary rows using the inline editor, you will be taken to the invoice confirmation page. If the details are satisfactory, click on Confirm and Submit.
  8. Depending on the number of invoice schedules you might see the results immediately on Schedules page or in a few minutes. Note: A draft invoice is generated on invoice date.
  9. Contractor(s) now need to upload their invoice file(s).

How Contractors of Record accept their scheduled invoice

As a Contractor of Record, when an invoice is scheduled for you, it's still your responsibility to upload your invoice. You will receive a notification when an invoice schedule is created.

A draft invoice is created on the invoice date, and you will receive a notification to upload your invoice for payment.

To do this:

  1. Go to the Invoices tab where you manage all your invoices.
  2. Click on the draft invoice and the upload form will be made available.
  3. Once you’ve filled out the invoice details, click on Submit.

  4. You will have the option to Preview invoice sample. We recommend that you use the invoice generated to avoid compliance issues.
  5. Once you submit the invoice, it will be sent to Remote for review.
