Bulk Contractor of Record (COR) Onboarding Guide

This guide walks you through the process of onboarding multiple contractors simultaneously using the Bulk Contractor of Record feature. This streamlined process allows you to add multiple contractors at once while ensuring compliance requirements are met.

Rules and Validations

  • Country eligibility: Contractors must be located in COR-eligible countries. View the full list at: Contractor of Record (COR) Availability Guide
  • Entity restriction: COR is not permitted when the contractor's country matches the engaging entity's country
  • Payment requirement: Reserve payments must be completed to fully onboard contractors

Step-by-Step Process

1: Access the Feature

Go to the Team tab and select Onboarding. Click on Add new and then select Add multiple hires.

Eligibility Requirements

Before proceeding, you must complete an eligibility questionnaire consisting of 3 risk assessment questions.

Important:

  • Answers must be truthful to ensure compliance
  • The same answers must apply to all contractors you plan to onboard
  • If eligibility fails, you'll be directed to switch to either Contractor Management (CM) or Employer of Record (EOR)

2: Upload Data

  1. Download the CSV template containing all required and optional fields
  2. Complete the template with contractor information
    • Multiple engaging entities can be specified directly in the template
    • The upload screen displays all possible engaging entities and indicates which ones are currently unavailable

Required Information

Basic Information:

  • Full name
  • Email address
  • Country code (contractor's country of residence - ISO code)
  • Billed entity (legal entity responsible for billing)
  • Engaging entity (legal entity engaging the contractor)
  • Job title (contractor's role/position)
  • IR35 status (required only for UK/GBR contractors)

Contract Details:

  • Statement of work description
  • Service start date (format: yyyy-mm-dd)
  • Service end date (format: yyyy-mm-dd)
  • Termination notice period (numeric value in days)
  • Contractor invoice frequency (e.g., Weekly, Monthly)
  • Gross compensation amount (numeric)
  • Gross compensation currency (3-letter ISO code)
  • Compensation period unit (e.g., Hourly, Daily, Monthly)

3: Map Fields

After uploading your CSV file:

  • The system automatically maps fields where possible
  • Fields are organized into two groups: Basic Information and Contract Details
  • Resolve all required field mappings before proceeding

4: Review Data

The system displays your data in a grid view with inline validation checking for:

  • Missing or invalid formats (email, dates, currency, rate)
  • COR country eligibility
  • AI verification of Services and Deliverables

Correction Options:

  • Edit directly inline using cell editing, dropdowns, and date pickers
  • Export the table as CSV for offline corrections and re-upload

5: Confirm and Submit

The final step provides:

  • Summary showing submitted vs. failed contractors
  • Creation of reserves for each contractor upon confirmation
  • Automatic invitation emails sent to contractors after reserve payments are completed
  • Option to review and edit failed rows

Post-Submission Process

For Employers

  • Reserves are created for each contractor, but payments are collected in a single consolidated invoice. The total value will be shown in the invoice as a single reserve item rather than itemized by contractor.

  • Contractors will receive invitations only after the reserves are paid.

Important Notes

  • Ensure all data is accurate before submission to avoid delays
  • Failed entries can be corrected and resubmitted
  • The bulk process does not alter the contractor's onboarding experience
  • Reserve payment is mandatory for completing the onboarding process
