How can I contact candidates through Remote Recruit?

In this article, we explain how to email candidates directly from Remote and manage replies in one place.

This feature is only available for customers on a paid Recruit plan.

Step 1: Search for candidates

  1. Sign in to your Remote account.
  2. From the side menu, select Sourcing.
  3. In the Search tab, enter a job title or keyword (for example, "Web Developer").
  4. Review the list of candidates in the results.

Step 2: Contact a candidate

You can contact candidates in two ways, depending on your workflow and pipeline.

From the search results

  1. After running your search, review the list of candidates.
  2. Open a candidate profile by selecting their row.
  3. After you open the profile, select the New message button to open the message editor.

From your bookmarked list

  1. Go to Sourcing, then select the Bookmarked tab.
  2. Review candidates marked as Not contacted.
  3. Select an outreach method, such as Remote email (letter icon) to open the message editor.

Step 3: Review or personalize your message

A pre-filled message appears when the editor opens.

You can:

  • Send the message as is
  • Edit the content
  • Select Draft email with AI to generate a new version

Once you're ready, select Send.

The candidate will receive your message by email and can reply directly from their inbox. They don't need a Remote account to respond.

Tip: Personalize the opening lines and include the job title in your subject.

Step 4: Manage replies

After sending, the candidate’s status updates to Email sent. While the status changes to Candidate replied when they send a response to your email.

To view and respond to messages:

  1. Go to Sourcing > Conversations
  2. Select a message thread
  3. Reply directly in Remote, or use Draft reply with AI to get a suggested response

Note: You’ll also get an email notification when someone replies.

Frequently asked questions (FAQs)

Why can’t I contact a candidate?

The Contact option only appears if the candidate’s email address is available.

Can I edit the AI message before sending?

Yes. You can edit any part of the message or generate a new version using AI.

Where can I see past conversations?

Go to Sourcing > Conversations to view and manage all threads.

Is there a limit to how many messages I can send?

There are currently no limits. If you can view the candidate’s full profile, you can send them as many messages as needed.
