How does Workday work with Remote Payroll, Employer of Record, and Contractor Management?

Remote provides two separate Workday integration paths. Workday Go uses Workday Global Payroll Connect (GPC) for Remote Payroll. Remote's custom application programming interface (API) integration syncs supported Employer of Record and Contractor Management worker data from Workday to Remote.

The API-based integration is not the Workday GPC integration. This article explains the difference between the two paths and links to the detailed setup guidance for worker and time off synchronization.

How Workday and Remote work together

Customers can use Workday with one or more Remote services:

  • Remote Payroll through Workday Go: Workday Go for Global Payroll is a Workday-branded payroll service powered by Remote. Workday remains the primary human resources system and user interface. Remote provides the payroll engine, local payroll operations, and compliance support.
  • Employer of Record (EOR): Customers without an established local entity can use Remote EOR. Supported worker data can sync from Workday to Remote through Remote's custom API-based integration.
  • Contractor Management (CM): Supported contractor data can sync from Workday to Remote through the same API-based integration.
  • Other contractor services: Remote also offers Contractor Management Plus (CM+) and Contractor of Record (COR).

Customers who need Workday GPC setup guidance should contact their Remote integration partner. The API setup articles linked below do not apply to GPC.

How Workday Go for Remote Payroll works

Workday Go uses GPC to transfer payroll information between Workday and Remote.

  1. Maintain worker information in Workday. Admins add and update worker details, including new hires, terminations, job changes, compensation changes, and time off.
  2. Send payroll data to Remote. Workday sends payroll-relevant information to Remote through GPC. Additional Workday forms may collect information that is not stored in standard Workday fields.
  3. Process payroll in Remote. Remote calculates payroll according to local requirements and prepares payslips, statutory documents, funding information, and reports.
  4. Review payroll and access results. Payroll admins review and approve payroll in Remote by the agreed cutoff. Remote sends supported payroll results and documents back to the worker profile in Workday.

Employees can access supported payslips and tax documents from Workday. Payroll admins may also use configured Workday payroll views to monitor payroll runs and results.

How the API-based worker sync works

Remote's API-based Workday integration supports EOR employee and CM contractor data. It sends supported data in one direction, from Workday to Remote.

The integration is free for customers using both Workday and Remote. A Workday administrator must configure the integration and provide the required API credentials. The setup uses the customer's Workday configuration, so changes to default section names may affect how the integration works.

For new hires, supported information includes the email address, name, preferred name and pronouns, start date, job title, country, address, department, supervisor, birth date, legal sex, gender, and mobile phone number. After onboarding is complete in Remote, the integration continues to sync a smaller set of supported profile fields, including name, job title, address, department, and supervisor.

Remote uses email addresses to match Workday records with Remote profiles. New EOR employees and contractors who have not completed onboarding generally need a future start date to sync. Workers must also be assigned to the required Workday organization configured for the integration.

Remote automatically syncs worker data every few hours. An admin can also run a manual sync from the Workday integration page in Remote. Updates made before onboarding may take up to one hour to appear automatically.

How employee time off sync works

The time off feature uses the API-based Workday integration. It does not use Workday GPC.

Time off sync has the following behavior:

  • It sends data in one direction, from Workday to Remote.
  • It includes approved future requests and past requests within the configured lookback period.
  • It does not retrieve requests from before January 1 of the current calendar year.
  • It only includes employees who were synced through the integration and have completed onboarding in Remote.
  • It currently supports EOR employees. Contractor time off is not included.
  • It requires admins to map each Workday time off type to the corresponding Remote time off type.
  • It does not sync unapproved requests or Workday absences.

Employee sync must be enabled and working before time off sync can be configured. Admins also need the required Workday security permissions and access to the relevant legal entities in Remote.

Workday and Remote can calculate time off balances differently because public holidays, request history, annual allowances, and carryover rules are not synchronized through the integration. Remote uses its time off data for payroll processing. Customers who need matching balances should align these policies in both systems.

Admins can enable automatic synchronization or run a manual sync in Remote. Turning off automatic time off sync does not delete information that has already synced. Admins should review the People, Time Off, and Events tabs regularly, preferably once a month before the payroll cutoff.

Customers using more than one Remote service may use separate integration methods. For example, a customer may use GPC for Remote Payroll and the API-based integration for EOR employee or CM contractor records.

How Workday Go differs from the API-based integration

Workday Go for Remote Payroll:

  • Uses Workday GPC to transfer payroll data.
  • Keeps Workday as the primary interface for human resources data and supported payroll documents.
  • Uses Remote for payroll calculation, local payroll operations, and payroll approval.
  • Provides a streamlined, Workday-branded Remote experience.

API-based integration for EOR and CM:

  • Uses Remote's custom Workday API integration.
  • Sends supported employee and contractor data from Workday to Remote.
  • Requires a Workday administrator to configure API credentials and permissions.
  • Synchronizes automatically every few hours and supports manual synchronization.
  • Can also sync approved EOR employee time off after employee sync is enabled.

How pricing works

Remote's custom API-based Workday integration is free for customers using both Workday and Remote.

Fees for Remote Payroll, EOR, CM, CM+, COR, and Workday Go depend on the customer's selected services and signed agreements. Workday and Remote sales contacts can confirm the services and fees that apply to a specific account.

Do not use public Help Center content as a quote or commercial agreement. The customer's signed agreement contains the applicable pricing and commercial terms.

Where to get support

The correct support route depends on the integration and the issue.

Contact Remote when:

  • An EOR employee or CM contractor does not sync to Remote.
  • A worker profile does not update after an automatic or manual sync.
  • An approved EOR employee time off request does not sync or produces an error in Remote.
  • Help is needed with a Remote payroll calculation, payroll document, EOR service, or contractor service.

Customers can contact Remote through live messaging or the support options available in the Remote dashboard. For worker sync issues, include the affected worker's name, email addresses in both systems, start date, and Workday employee ID. Screenshots of the relevant Workday permission and API client settings may also be required.

For time off issues, include a screenshot of the error in Remote's Time Off tab and the corresponding request in Workday.

Contact Workday or the customer's Workday partner when:

  • Help is needed with Workday fields, workflows, approvals, permissions, or reports.
  • Human resources or time off data is missing or incorrect in Workday.
  • A Workday integration task fails or does not provide the expected credentials.
  • Help is needed to configure the Workday side of the API integration.
