How do I create and send a document with multiple internal signatories?

You can add multiple internal signatories to a reusable document template in Remote. When you create a document from the template, Remote automatically adds the employee and each assigned signatory, so you do not need to set them up again.

This article explains how to create the template, generate a document, and send it for signature.

Before you begin

You can assign only active users from your company who have the required contract document permissions. This may include an admin, super admin, or a user with a custom role that allows them to create and read contract documents.

You cannot assign an external person, such as a vendor, provider, outside counsel, or witness.

Create a template with multiple signatories

  1. In Remote, go to Documents.
  2. Select Create, then select Template from generic documents.
  3. Select the country or countries where the template applies.
  4. Enter a template name, then select Create template.
  5. In the Templates Editor, place your cursor where you want the employee's signature to appear.
  6. Select Signature, turn on Team Member Placeholder, then select Add Signature.

    Remote will assign this signature field to the employee you select when you create a document from the template.

  7. To add another internal signatory, place your cursor where you want their signature to appear.
  8. Select Signature, choose Assigned Signatory, then select the person who needs to sign.
  9. Repeat the previous step for each additional internal signatory.
  10. Review the template, then select Publish.

Create a document from the template

  1. Go to Documents.
  2. Select Create, then select Create a document from a template.
  3. Select the employee the document is about.
  4. Select the published template.
  5. Select Create document.
  6. Review the document and confirm that the employee and all assigned internal signatories appear correctly.

Remote copies the complete list of signatories from the template to the new document. The team member placeholder is assigned to the employee you selected, and named signatories remain assigned to the people selected in the template.

Send the document for signature

The action available to you depends on whether you are one of the assigned signatories:

  • If you are a signatory, select Sign. After you sign, Remote sends the document to the other assigned signatories.
  • If you are not a signatory, select Send for signature. Remote sends the document to all assigned signatories.

The document status changes to Awaiting signatures while signatures are outstanding. After everyone signs, the document is fully signed.

Add signatories to a one-time document

You can also add multiple internal signatories directly to a draft document. Use the same Team Member Placeholder and Assigned Signatory options before sending the document for signature.

Current limitations

  • You can assign internal users only. External signatories are not supported.
  • Signatories can sign in any order. You cannot set a signing order.
  • You cannot change a signatory after sending the document for signature.
  • Each signature field must be assigned to a named signatory or use the team member placeholder. You cannot leave a signature field unassigned.
