How do I assign a company admin role from an employee or contractor profile?

If you are a company admin with permission to manage roles, you can give someone company admin access directly from their employee or contractor profile, without going to the company admin users page. Once you save the change, that person receives an email listing the role or roles assigned to them.

Before you start

The person's login email must already be their verified work email. Remote blocks role assignment from the employee or contractor profile when the login email is a personal email.

How to assign a role

  1. Open the employee or contractor profile.
  2. Go to the Roles and permissions section under the Jobs tab, then click Edit.
  3. Select the roles you want to assign. You can select more than one, and any roles the person already holds are selected already.
  4. Save your changes. The person receives an email listing the role or roles assigned to them.

If you remove every role, the person loses all company admin access.

If the person is the company owner, you cannot remove the Owner role. To change the company owner, contact Remote.

Where to see who has admin access

Assigned roles also appear in Team Overview. You can filter for people with a specific role, or open the Company Admins tab to see everyone with admin access.

Frequently asked questions

Will the person be notified when I assign them a role?

Yes. They receive an email letting them know about their new role. If they can already sign in to Remote, they only need to sign in to access the new role or roles. If they have not set up their login or verified their email yet, they need to do that first.

If you assign multiple roles, they land on one of the assigned roles and can switch to the others from the profile switcher.

How do multiple roles work day to day?

If someone holds more than one role, they can switch between roles at any time from the profile switcher once they are signed in. The role they switch to decides what they can see and do, including which notifications they receive. Remote remembers their last seen profile, so they return to the same role the next time they sign in.

Why don't I see all assigned roles in the employee or contractor profile?

The roles shown in an employee or contractor profile are the ones linked to that profile. If multiple roles were assigned before May 2026, they were likely assigned in the legacy way. You can identify legacy assignments on the company admin users page: legacy roles appear as separate rows and are not linked to an employee account, while roles linked to an employee or contractor profile appear as additional role pills on the same company admin user.

To make sure all of a person's roles appear in their profile:

  1. Assign the missing role to the linked company admin user as an additional role pill.
  2. Delete or un-assign the legacy role.

Check the impact before you make this change, because changing legacy assignments can cause the loss of events and related history.

Can I assign a role to someone who is not yet an employee or contractor on Remote?

Not from the employee or contractor profile. That option only works for people who are already an employee or contractor at your company. To give admin access to someone who is not a Remote employee, such as an external admin, use the company admin users page.

What happens if I remove all of someone's roles?

They lose all company admin access. This does not affect their regular account. If they are an employee or contractor, they keep that access. Removing the roles only removes their ability to act as a company admin.

What happens to someone's roles when they leave the company?

Roles are not removed automatically today. We recommend removing admin roles from the person's profile as part of your regular offboarding steps. Automatic removal is planned for a future update.

Can the same person hold roles at more than one company?

Yes. If someone is linked to more than one company, each company manages that person's roles separately, so assigning a role at one company has no effect on their access at another. They can switch between companies and roles from the profile switcher once they are signed in.

Why don't I see all company admins in Team Overview?

Team Overview only shows admins who are linked to an existing employee or contractor profile. People who have admin access but are not a Remote employee or contractor are not in Team Overview yet. You can still find them on the company admin users page. We are working on bringing them into Team Overview as well.
