Account activity gives company admins a self-service view of your company's billing balance with Remote. You can review invoices, payments, credit notes, and refunds, see how an invoice balance changed over time, export the data, and download a PDF account statement for a selected period.
An account statement is a reconciliation aid. Your individual invoices remain the binding billing documents.
How do I open Account activity?
- In the left navigation, select Billing.
- Select Account activity.
How do I choose the right entity and currency?
If your company is billed through more than one entity or currency, use the selector at the top of the page to choose what you want to review. The summary cards and the transaction history update to match your selection.
If your company has several bill-to entities, select Balance by entity to compare balances across entities and currencies.
What do the summary cards show?
The cards show the current totals for the selected entity and currency:
- Net balance due: the amount currently due to Remote.
- Open invoices: the total value and number of invoices that are still outstanding. Select View open invoices to open Billing with the list already filtered to that entity, currency, and open status.
- Open credit notes: the total value and number of credit notes still available. When credit notes are available, select the link to open the matching filtered list.
- Unapplied cash: cash received for the selected entity and currency that has not yet been applied to an invoice.
These cards always show current aggregate totals. Filtering the transaction table by date, transaction type, or invoice does not change them.
How do I review my transaction history?
Select Transaction history to see invoices, credit notes, payments, and refunds in date order. Each entry shows the date, type, billing document reference, description, bill-from entity, amount, and running balance.
Use Search invoice and Filter to find what you need. You can filter by date range and transaction type, and search using all or part of an invoice number.
By default, the page shows recent activity. If there has been no activity in the past year, it shows the most recent available period and explains this at the top of the page.
How do I check how an invoice balance changed?
Select Balance management to review the events that affected an invoice balance, such as an invoice being issued, a payment, a refund, or a credit being applied.
The Invoice balance after column shows the balance remaining after each event. Cleared means no balance remains on that invoice.
How do I export data or download a statement?
To export the table data, select the More menu (three dots), then select Export data. You can download the displayed data as a CSV or Excel file.
To download a PDF account statement:
- Set the period you need in the transaction date filter.
- Select Generate statement. A confirmation window shows the bill-to entity, currency, and date range included.
- Select Generate PDF.
The PDF includes the opening balance, the transactions in the selected period, the closing balance, and an aging summary.
What if a balance does not look right?
If a balance, invoice, or credit does not look as you expect, contact Remote through live messaging with the bill-to entity, currency, invoice or credit note reference, date range, and a screenshot. This helps us review your account quickly.
If you cannot see Account activity, ask your company administrator to confirm your access.
