Use Credit management to choose how Remote should use eligible credit notes and available cash balance against new invoices. Settings are saved separately for each legal entity, so a company with more than one entity can configure them differently.
Who can change these settings
You need permission to update billing settings. If you can view the page but cannot change a setting, ask a company owner or an admin with billing access.
Open Credit management
- Sign in to Remote.
- Open Company settings.
- Find the Billing card.
- Select Credit management.
Credit management is under Billing in Company settings.
Choose the legal entity
The page shows one card for each legal entity in your company. Find the entity you want to configure before changing a setting. Each card shows the entity's country and name.
Your change is saved as soon as you use a switch. Remote shows a confirmation when the update succeeds. If it fails, the previous selection is restored and you can try again.
Each legal entity has its own credit-note and cash-balance preferences.
Configure credit notes
Automatically apply credit notes is the main control for credit-note application.
- Turn it on to enable both payment-method options. You can then switch either option off separately.
- Turn it off to switch off both payment-method options.
- If either payment-method option is on, the main control stays on.
Choose the payment methods that match how the entity pays:
- Automated direct debit: Remote applies eligible credit notes to new invoices before collecting payment by automated direct debit.
- Bank transfer, manual direct debit, and credit card: Turn this on when you want Remote to use eligible credit notes for invoices your company pays using these methods.
For automated direct debit, turning the setting on does not reprocess invoices that were already issued. It applies when a new eligible invoice or debit memo is created.
Configure cash balance
Turn on Automatically apply cash balance when you want Remote to use the entity's available cash against new eligible invoices.
This switch is independent of the credit-note controls. Your preference is saved for future eligible invoices; it does not select a specific invoice or apply the balance immediately.
When a credit note cannot be applied
Remote cannot apply a credit note in these cases:
- Reserve invoices
- Contractor of Record (COR) pre-funding invoices, or contractor payment invoices while prepaid COR funds are held
- The credit note and invoice use different currencies
- The credit note and invoice are billed by different Remote entities
- The credit note and invoice belong to different bill-to entities
If no eligible credit note is available, the invoice follows its normal payment process. Any unused credit remains available for a later eligible invoice.
Review what was applied
Open Billing → Account activity to review completed applications and the remaining balance for the entity and currency. The balance widgets also show what is still available.
Need help?
If a setting is missing, will not save, or a credit was not applied as expected, submit a request to Remote Support. Include the legal entity, invoice number, credit-note number, currency, and payment method so the team can check it quickly.
