Pivot turns a payroll report with one row per pay item per employee into a table with one employee per row and each pay item in its own column. Totals that show how gross pay becomes net pay (Total gross, Total net, and Total employer contributions) appear next to the pivoted columns.
How to pivot a report
- Go to Reporting & Analytics > All Reports.
- Open a Payroll report in edit mode, or create a new report and select the Payroll data source.
- Click Pivot in the left sidebar.
- Switch on Turn on pivot.
- Under Pivot by, select Pay item name or Pay item type.
- Run the report.
The report needs the column you pivot by and the Amount column. If either is missing, the panel adds it.
You can also ask the AI builder to pivot a report. If it can't, it explains why.
How columns are created
- Pay item name: One column per pay item in your data. New pay items appear as new columns automatically.
- Pay item type: A fixed set of columns.
Pivoted columns can't be renamed, reordered, or given a formula.
How to read the totals
Totals are calculated from the underlying payroll rows, so they may not equal the sum of the visible columns. For example, if two legal entities use the same pay item name for different kinds of amounts, that pay item is left out of the totals but still appears as a column.
- Total net isn't the same as the Net pay column.
- Net pay, accruals, Net pay adjustment, Total payroll cost, Reporting amount, and Tax subsidy aren't included in any total.
- There's no total deductions column yet.
Limits
- Cells show sums only.
- Reports can have up to 200 columns, checked when you save.
- The preview shows up to 25 rows (for example, 25 employees) and 60 columns. The export includes every column.
