How to submit a per diem claim
Marinica Digennaro
Per diems are daily allowances that cover meals, accommodation, and other costs while you're traveling for business. You can submit a per diem claim directly from the Expenses tab.
Remote tailors per diem claims to your country's tax regulations. We ask for the information needed to calculate your reimbursement correctly and help you benefit from the tax-free rates available under local law.
Per diem claims aren't available on the Remote mobile app yet. Submit yours from a desktop or laptop browser.
- Go to the Expenses tab in your Remote dashboard
- Click Add expense, then select Per diem
- Fill in your trip details:
- Title: A short, descriptive name for the expense
- Reason for travel: The business purpose of the trip
- Destination country: The country you traveled to
- Destination city: The city you visited
- Travel dates: The start and end date of your trip
- Travel start time: When your trip started
- Travel end time: When your trip ended
- Complete any additional fields required by your country's tax regulations. For example, you may need to provide the name and address of where you stayed. This is a compliance requirement for overnight trips in some countries.
- Click Continue.
- Select the currency for your per diem. You'll be presented with each day of your trip and the applicable maximum tax-free amount.
- Choose how to calculate your allowance:
- Keep Use tax-free rate for all rows on to have Remote automatically calculate your amount up to the applicable tax-free limit.
- Switch it off if your company has approved a different daily rate. You can then enter the amount for each day. If your company's rate is above the applicable tax-free limit, the excess will be treated as taxable income.
- Review Expenses covered for each day. These selections help Remote calculate the correct tax-free amount and prevent you from claiming the same cost twice. Deselect anything that:
- Your employer provided free of charge, or
- You're claiming separately with a receipt.
- Attach any supporting documents your company requires.
- Click Submit expense.
Your claim will appear under Pending, and your manager will be notified to review and approve it.
- Why am I being asked for my accommodation details?
If your trip spans more than one day, local tax rules may require Remote to record where you stayed. - What does the tax-free warning mean?
It appears when you've switched off the automatic tax-free rate and entered your own daily amount. It's a reminder that your "Expenses covered" selections determine your tax-free limit. If the amount you enter is higher than that limit, the excess will be taxed. - Can I claim per diem and a separate expense for the same day?
Yes, but not for the same cost. If a meal or your accommodation is already covered by your per diem, deselect it from "Expenses covered" before claiming it separately with a receipt, otherwise you risk being reimbursed twice, and the extra amount may be taxed. - What if my company doesn't use Remote's tax-free rate?
Switch off "Use tax-free rate for all rows" and enter the daily amount your company has approved instead. Just keep in mind any amount above the local tax-free limit becomes taxable.
