AI-Powered Field Mapping Suggestions for HRIS Integrations

Setting up field mappings for HRIS integrations during Global Payroll onboarding is now faster and simpler. With AI Mapping Suggestions, Remote proposes matches between your external HRIS fields and Remote’s Global Payroll onboarding schema, reducing the manual effort needed to configure integrations.

This feature is strictly designed for Global Payroll onboarding field mappings. Supported HRIS providers are:

• BambooHR
• HiBob
• Personio

Employer of Record (EOR) and Global Payroll Connect (GPC) workflows do not support this feature.

To comply with your organization’s legal and data privacy standards, this feature is completely opt-in.

• No Automated Sampling: No employee data or samples are collected or processed until you manually turn on the feature in your settings. But once the feature is enabled, every regular sync saves a copy of synced employees’ record.
• What Data is Used: When you generate suggestions, the AI retrieves up to 10 employee sample records for the specific legal entity's country. These samples are exact employee records from your HRIS (containing standard personal details which can include name, email, address, date of birth, bank details, national ID, etc.), along with field catalogs, current field pairings, and recent sync warnings.
• 14-Day Retention Period: Employee samples are retained securely for up to 30 days solely to generate and refine suggestions. Each record is automatically deleted 14 days after its last sync.
• Immediate Deletion on Opt-Out: Disabling the feature instantly deletes all cached employee sample records.
• Draft Pairings Persist: The resulting AI suggestions contain only structural field pairings (e.g., HRIS_Field_A → Remote_Field_B) and zero personal employee data.

Please note that the collected sample employee data may be shared with our AI providers, including OpenAI and/or Anthropic to analyze data and suggest field mapping.

Note: For demonstration purposes, BambooHR integration is used in this section. The steps provided work the same for other supported integrations as well.

This step is required before any sample collection begins.

1. Navigate to your Integration Settings in the Remote platform.
2. Under General > Employee information, switch the AI mapping suggestions toggle. You will be prompted with a confirmation message. Click the Turn on button to enable the feature.
   

1. From integration Settings page, go to Payroll under Product-specific settings.
2. Click on Map employee data.

3. Against the legal entity of your choice, click Generate AI suggestions. The AI will process up to 10 employee sample payloads alongside existing schema warnings to draft field pairs.

4. Click on Map to find detailed mapping options.
5. Review the draft pairings. Click Accept on individual suggestions to promote them to live mappings or Discard to reject suggestions you do not wish to apply.

• Nothing Goes Live Automatically: All AI-generated outputs remain strictly as drafts. They will not alter or interrupt your active integration data flow until an authorized user manually accepts them.
• Sync Warning Resolutions: If your integration currently reports sync warnings or unmapped schema errors, running AI suggestions uses those warning contexts to propose accurate fix configurations.
