How do scheduled tasks work using Remote AI agent?
You can ask the Remote AI agent to run a task later instead of running it straight away. This article explains what a scheduled task is, how to create and manage one, and the limits that apply.
A scheduled task is an instruction you give the agent to run at a set time, either once or on a repeating schedule. When the time arrives, the agent runs your instruction and replies in the same conversation where you created the task, so you do not need to be there when it runs.
For example, you can ask the agent to:
- Summarize your team's pending requests every Friday at 9:00 am
- Remind you to submit your expenses on March 3
- Open the Remote AI agent and describe what you want the agent to do, including when it should run and how often.
- Review the plan the agent proposes. It confirms the instruction, the time, and the frequency before anything is created.
- Approve the plan. The agent then creates the scheduled task.
- At the scheduled time, the agent runs the instruction and posts the reply in the same conversation.
If you describe a chore that you repeat often, the agent may offer to turn it into a scheduled task for you.
In the sidebar, go to Agent and select Scheduled tasks. This page lists the tasks you have created, including the ones you have paused.
From the Scheduled tasks page, you can rename, pause, resume, or delete a task. You can also ask the agent to do any of these for you in the conversation.
- You can have up to 10 active tasks per agent. Paused and finished tasks do not count toward this limit.
- A repeating task runs at most once per hour.
- A one-time task must be scheduled within the next year.
- A repeating task can have an end date. The end date must fall after the first run.
- Several fixed days in the same month, for example the third and the seventeenth, count as one task and need one approval.
- Random or irregular dates, such as 10 random days a month, are not supported.
- Times follow the timezone of your device, unless you ask for a different timezone when you set up the task.
- A task can run a few minutes late during busy periods, but each occurrence runs only once.
- If a task cannot run for 24 hours, we pause it so that it stops trying. You can resume it at any time.
- Deleting a task cannot be undone. Deleted tasks are permanently removed after 30 days.
- Scheduled tasks are available to company admins and employees.
Why did my task pause?
If a task cannot run for 24 hours, we pause it so that it stops trying. Resume it from the Scheduled tasks page, or ask the agent to resume it for you.
What happens when I reach 10 active tasks?
Pause or delete a task you no longer need, or wait for a one-time task to finish. Paused and finished tasks do not count toward the limit.
Which timezone does my task use?
Your task follows the timezone of your device, unless you ask for a different timezone when you set up the task.
What happens if I ask for a schedule that is not supported?
The agent tells you which limit applies to your request before it creates anything, so you can adjust the schedule and approve it.
Can I recover a task after deleting it?
No. Deleting a task cannot be undone, and deleted tasks are permanently removed after 30 days. If you may need the task again, pause it instead.
