How to do User Acceptance Testing (UAT) before going live with Remote HRIS?
Before inviting your team to use Remote HRIS, it’s important to run internal testing to confirm that everything is working as expected. This step is known as User Acceptance Testing (UAT) — and it’s your chance to validate your setup, catch any errors, and make sure the experience is smooth for your team at launch.
User Acceptance Testing (UAT) is the process of reviewing and validating your HRIS setup before going live. It’s carried out by the people who will use the platform day-to-day — like Admins, HR, IT, and Managers — to ensure everything works as expected in real scenarios.
UAT helps confirm that your data is accurate, permissions are set correctly, and workflows function as intended. This phase helps prevent issues after launch and gives your team the confidence to move forward.
Before you begin testing:
- Assign specific testing responsibilities to key stakeholders (e.g. HR Admins, IT, department Managers)
- Make sure everyone involved in testing has platform access
- Set up a shared document or tracker to collect feedback and issues
- Establish clear success criteria for what needs to work before go-live
- Plan enough time for testing — typically 5–15 business days depending on your team size and workflow complexity
Tip: Create a test user with employee-level access to simulate the real user experience and uncover hidden access or usability issues.
Security and permissions
- Confirm user roles behave as expected (Admin, Manager, Team Member).
- Check that users only see what they’re meant to see (e.g. personal info, documents, time off).
- Validate login flows, 2FA, and SSO (if enabled).
Organizational structure
- Review job roles, departments, and reporting lines.
- Confirm that each team member is linked to the right manager.
- Check that the org chart reflects your actual hierarchy.
Data and profiles
- Validate employee data such as:
- Names, roles, start dates, and work locations.
- Time off balances and historical records.
- Any required custom fields.
- Check for missing or inconsistent information.
Workflows and HR processes
- Test end-to-end workflows like:
- Onboarding and off-boarding.
- Team Management
- Time Off Management
- Time Tracking
- Expenses Management
- Performance reviews and goal setting, etc.
- Verify automations and alerts trigger as expected.
- Check notification delivery (email, in-app, Slack, or mobile if applicable).
Reporting and analytics
- Run sample reports (headcount, time off, expenses).
- Test filters, export formats, and scheduled reports (if enabled).
Once testing is complete:
- Review all logged feedback and confirm issues have been resolved.
- Hold a short review meeting with testers to confirm go-live readiness.
- Finalize your launch plan and prepare to invite your team.
UAT is your final check before going live with Remote HRIS. It helps you catch issues early, improve the experience for your team, and ensure a confident, smooth rollout.
