How do I assign a company admin role from an employee or contractor profile?
If you are a company admin with permission to manage roles, you can give someone company admin access directly from their employee or contractor profile, without going to the company admin users page. Once you save the change, that person receives an email listing the role or roles assigned to them.
The person's login email must already be their verified work email. Remote blocks role assignment from the employee or contractor profile when the login email is a personal email.
- Open the employee or contractor profile.
- Go to the Roles and permissions section under the Jobs tab, then click Edit.
- Select the roles you want to assign. You can select more than one, and any roles the person already holds are selected already.
- Save your changes. The person receives an email listing the role or roles assigned to them.
If you remove every role, the person loses all company admin access.
If the person is the company owner, you cannot remove the Owner role. To change the company owner, contact Remote.
Assigned roles also appear in Team Overview. You can filter for people with a specific role, or open the Company Admins tab to see everyone with admin access.
Are any permissions changing?
No. This update improves visibility and organization only. It doesn't change role logic, access levels, or permissions.
Can I edit roles from an employee or contractor profile?
Yes. If you have access to manage roles, go to the person's Job tab, find Roles and permissions, and select Edit. The person must use their verified work email as their login email before you can assign roles this way. For detailed steps, see the "How to assign or change roles from an employee or contractor profile" section above.
Is the Company Admin Users page still available?
Yes. However, we recommend using Team overview to review and manage role assignments for employees and contractors. Use the Company Admin Users page for company-admin-only users who aren't linked to an employee or contractor profile, or to review legacy role assignments.
Will the person be notified when I give them a role?
Yes. They'll receive an email listing the role or roles assigned to them.
If they can already sign in to Remote, they can sign in to access their new role. If they haven't finished setting up their login or verifying their email, they'll need to complete those steps first.
If you assign multiple roles, they can switch between them from their profile switcher.
How do multiple roles work?
If someone has more than one role, they can switch between roles from their profile switcher after signing in.
The role they're currently using determines what they can see and do, including which notifications they receive. Remote remembers their last-used profile, so they return to it the next time they sign in.
Why don't I see all roles assigned to an employee or contractor?
The Roles and permissions section only shows roles that are linked to that employee or contractor profile.
If multiple roles were assigned before May 2026, some may have been assigned using the previous company admin setup. These legacy roles can appear as separate rows on the Company Admin Users page instead of as additional roles linked to the person's employee or contractor profile.
You don't need to take any action if you see these legacy role assignments. They don't affect the person's access, and you can leave them as they are. If you want to consolidate these roles, see "How can I update legacy role assignments?" below.
Can I give someone a role if they aren't an employee or contractor in Remote?
Not yet. You can currently assign roles from a profile only to people who already have an employee or contractor profile at your company. Support for assigning roles to people who aren't employees or contractors is coming soon.
Until then, use the Company Admin Users page for external admins.
What happens if I remove all of someone's roles?
They lose all company admin access. This doesn't affect their regular account. If they're an employee or contractor, they keep that account and only lose their ability to act as a company admin.
What happens to someone's roles when they leave the company?
Admin roles aren't removed automatically when someone leaves the company. Remember to remove their admin roles as part of your regular offboarding process.
Can the same person have roles at more than one company?
Yes. If someone is linked to more than one company, each company manages that person's roles separately. Giving them a role at one company doesn't change their access at another.
They can switch between companies and roles from their profile switcher after signing in.
Why don't I see all company admins in Team overview?
Team overview only shows company admins who are linked to an existing employee or contractor profile.
Company-admin-only users (people who have admin access but aren't an employee or contractor in Remote) aren't shown in Team overview. You can still find them on the Company Admin Users page.
Do I have to update legacy role assignments?
No. You can leave legacy assignments as they are. They won't affect the person's access, and the person can continue to access those roles from the profile switcher. However, you won't be able to see all of their assigned roles in their employee or contractor profile.
How can I update legacy role assignments?
Updating legacy role assignments is optional. You can leave them as they are without affecting the person's access.
If you want to consolidate legacy role assignments into the person's employee or contractor profile:
- Go to the team member's employee or contractor profile.
- Assign the applicable roles to their profile. For instructions, see the "How to assign or change roles from an employee or contractor profile" section above.
- If any legacy roles include direct report assignments, transfer those assignments to the team member's employee or contractor profile.
- To review which direct reports a manager has access to, see Can a manager view their direct reports?
- To learn how direct report roles are assigned, see How to assign a company user to an employee or contractor
Important: The next steps permanently delete information associated with the legacy company admin user. Deleting a legacy company admin user removes its event history, so you won't be able to trace actions taken under that role. It can also leave pending tasks unfinished, such as signing an agreement or approving an expense. Before you continue, make sure you no longer need the audit history and that any pending tasks have been completed or reassigned.
- Go to the Company Admin Users page.
- Find the person's roles that aren't linked to their employee or contractor profile, and delete those legacy role assignments.
