Workday Integration

With Remote’s integration with Workday, you can now sync EOR and Contractor employee data from Workday to Remote. Remote will create employee profiles and will ensure that changes to employee data made in Workday are promptly reflected in Remote.

This article will explain the setup process for the integration, how to manage the integration, and how to disable the integration.

Note: As of May 13, 2024, this integration is in GA. If you have feedback or issues, please reach out to the Remote Support team or your account manager so we can capture your feedback. The integration is free to use. 

How to set up the Workday integration

  1. Ensure you have the right permissions:
    • In Remote: You will need to be either a Company Owner or a Super Admin role in Remote to enable the integration. See also: User permissions overview
    • In Workday: You will need to have Admin user permissions in Workday to create the custom report and enable the integration.
  2. Create a custom report in Workday
    Create a custom report, or a WebService, in your Workday account and make it accessible via a combination of username and password.
    Note: You may need to collaborate with your in-house Workday consultant to create this report and ensure that new hire data is included. They will be able to easily to create a custom report based on the list of fields below.
    • The custom report should contain the following fields:
      • Employee_ID *
      • Primary_Home_Address_-_Country *
      • Primary_Address_-_State_Province *
      • Primary_Home_Address_-_Postal_Code
      • Legal_Name_-_First_Name
      • Legal_Name_-_Middle_Name
      • Legal_Name_-_Last_Name
      • Email_-_Home
      • Email_-_Work
      • dateOfBirth
      • Gender
      • Phone_Numbers
      • Primary_Nationality__Worker__-_Locale_Sensitive
      • Preferred_Name
      • Pronoun__Locale_Sensitive_
      • Worker_Type
      • Contingent_Worker_Type
      • Seniority_Date
      • businessTitle
      • Hire_Date

    Fields marked with * are required.

  3. Give Remote access to the custom report
    1. Once the custom report is created, go to the Company Settings in Remote, click Integrations and select the Workday integration card.
    2. On the Workday integration page, click Add to Remote.

    3. Enter the URL, username and password from the custom report. Click Connect Integration.

  4. Map worker types
    Once the integration is connected, Remote will need to know how to interpret the worker types on your custom Workday report so that we can correctly classify a worker as an employee or a contractor.
    Go to the Settings tab on the Workday integration page and select Configure mapping. To map your employment types between Workday and Remote, please select which Worker_Type option is considered full-time and which Contingent_Worker_Type option means contractor.

How to use the Workday integration

Once your integration is fully setup, we will automatically sync data from Workday every hour.

Alternatively, click the Sync button in the “Manually sync data from Workday to Remote” section to manually trigger a sync process.

Once synced, a profile for the new hire will appear in Remote. The employee data fields from Workday will include:

  • Email address
  • Full name
  • Country
  • Address (excluding country)
  • Start date
  • Seniority date
  • Birth date
  • First name
  • Middle name
  • Last name
  • Preferred name
  • Preferred pronouns
  • Gender
  • Mobile phone
  • Nationality

Go to Onboarding in Remote to view the employee profile and complete the remaining steps in the onboarding process. The employee will not receive an invitation to onboard in Remote until you complete the remaining onboarding steps.

Note: Any changes to a new hire’s name, email address, start date, job title, seniority date, or employment type in Workday will not sync into Remote while the onboarding process is in progress, because these details are used to create the employment agreement.

Once the employee onboarding process is complete in Remote, changes made to the following employee details in Workday will be automatically synced to Remote:

  • Full name
  • Address (excluding country)

Updates to many other fields are blocked for active EOR employees for security reasons, to prevent risk of impersonation and updating sensitive employee details.

History of integration syncs

You can see the history of all employee data updates made through the integration by navigating to People and Event history tabs:

How to delete the Workday integration

If you would like to delete the integration between Workday and Remote, go to the Company Settings in Remote, select Integrations, and click on the Workday integration card. 

On the Workday integration page, click Remote integration button. The integration will be removed.
