This article explains how to determine when your expense reimbursements will be processed and paid out through payroll.
General Timeframe
Expenses will be paid in the same payroll run if they are submitted and approved before the payroll cutoff date of a given cycle. If approved after the cutoff date, they will be paid in the following payroll cycle.
How to Check Your Specific Expenses
You can track the status of your expense claims and their expected payment dates by following these steps:
- Log into your Remote account
- Click on the Expenses tab
- View your expense status under the appropriate tab
Understanding Expense Status
Each expense goes through several status changes from creation to payment:
Status | Description | Payment Status |
Draft | Expense created by employee, may be incomplete | Not submitted for payment |
Pending | Expense submitted by employee, awaiting approval | Not yet scheduled for payment |
Approved | Expense approved by employer | Scheduled for next available payroll based on approval date |
Declined | Expense declined by employer or Payroll Operations | Will not be paid out (see rejection reason) |
Processing | Expense added to a payroll run | Payment is being processed |
Reimbursed | The payroll run is completed | Payment has been processed |
Cutoff Dates and Payroll Cycles
The timing of your expense reimbursement depends on:
- When your expense was approved
- Your country's payroll cutoff date
- Your country's payroll frequency
Monthly Payroll Countries
Most countries follow a monthly payroll cycle with the following rules:
- Standard cutoff date: 16th of the month
- Special exceptions:
- Bulgaria: 1st of the month
- Germany: Varies each month
- UK: 11th of the month (or last working day before if the 11th falls on a weekend)

Semi-Monthly/Bi-Monthly Payroll Countries
In countries with semi-monthly payroll processing, expense reimbursements submitted before the payroll cut-off can be processed and paid out either mid-month (15th) or at the end of the month.
- First half of month: Typically covers 1st-15th, with cutoff around the 7th
- Second half of month: Typically covers 16th-31st, with cutoff around the 22nd

- Expense approved: April 10th
- UK cutoff date: 11th of the month
- Result: Paid in April's payroll (typically around the 25th)
Example 2: Monthly Payroll with Missed Cutoff (UK)

- Expense approved: April 12th
- UK cutoff date: 11th of the month
- Result: Paid in May's payroll (typically around the 25th)
Example 3: Semi-Monthly Payroll (US)
- Employee in US
- Expense approved: April 5th
- US first cycle cutoff date: April 10th
- Result: Paid in mid-month payroll (around the 15th)
Example 4: Semi-Monthly Payroll with Missed Cutoff (US)
- Employee in US
- Expense approved: April 11th
- US first cycle cutoff date: April 10th
- US second cycle cutoff date: April 25th
- Result: Paid in end-of-month payroll (around the 30th)
Important Notes
- Manager Approval: All expenses must be approved by your manager before the cutoff date to be included in that payroll cycle.
- Year-End Processing: Some countries have special year-end cutoff dates (e.g., UK typically has a December 6th cutoff for year-end processing).
- Weekend/Holiday Adjustments: If a cutoff date falls on a weekend or holiday, it's typically moved to the previous business day.
