After completing training and user acceptance testing (UAT), youβre ready to go live. But launching Remote HRIS is more than flipping a switch β a successful rollout includes clear communication, thoughtful invitations, and ongoing support.
This article walks you through everything you need to make your go-live a success: from pilot launch to company-wide adoption.
1. Plan your rollout: pilot first, then full launch
Some companies choose to begin with a soft launch (pilot) before inviting the full organization. While optional, a pilot can help uncover usability issues early and give you valuable feedback in a smaller, controlled environment.
If you decide to pilot:
- Select 1β3 teams to test the platform in a real context.
- Ask them to complete key actions like onboarding, submitting time off, or updating their profiles.
- Collect feedback on usability, setup, and communication.
- Use that input to make final adjustments and clarify messaging.
To invite your pilot group:
- Go to Team > Onboarding.
- Select the relevant users.
- Click βSend inviteβ.
Pilot users often become internal champions who can support others during the full rollout.
2. Review your go-live readiness
Before inviting your entire team, make sure:
- All feedback from training and UAT has been addressed.
- Admins, Managers, and team members know what to expect.
- Core workflows (onboarding, time off, expenses, etc.) are functioning correctly.
- Team structure, roles, and reporting lines are clean and accurate.
- Your internal communication plan and timeline are clear.
3. Go live with your full team
When you're ready for the full rollout:
- Go to Team > Onboarding.
- Select the remaining users.
- Click βSend inviteβ.
Each person will receive an email prompting them to log in, complete onboarding, and start using Remote HRIS.
π‘ Tip: Invite Admins and Managers first so they can support their teams through the transition.
π‘ Tip: You can choose to invite everyone at once or in phases, whatever works best for your rollout.
β οΈ Important: If you selected the "Invite employees immediately" option during CSV upload, the team members have already received invites already. You can check the enrollment status under the Team > Onboarding tab.
4. Announce the launch
Make your launch visible, clear, and positive. A thoughtful announcement helps people feel confident and excited to use the new system.
What to include in your message:
- A brief note from a leader explaining the purpose of the launch
- What Remote HRIS is and what actions team members need to take
- Where to go for help or questions

5. Post-launch support
Continue supporting your team in the days and weeks after go-live:
- Keep support channels open for quick help
- Share pinned resources or quick video walkthroughs
- Send reminders to complete onboarding or update profiles
- Recognize early adopters and internal champions
