This article explains how to customize which information fields are mandatory when onboarding Direct employees through Remote HRIS. This feature allows employers to align the onboarding process with their internal data requirements.
Overview
Remote HRIS gives you the flexibility to decide which employee data is essential for your company. By default, most HRIS fields are optional. You can update your company settings to mark specific fields as Required or Optional for each country where you operate.
When you mark a field as Required, the employee must provide that information during their onboarding process.
Key considerations
Before updating your settings, please review the following rules regarding this feature:
Mandatory system fields: The following four fields are always required for employee onboarding and cannot be changed to optional:
Email address
Full name
Country
Legal entity
Direct employees only: This customization applies exclusively to Direct employees using Remote HRIS. It does not affect contractor onboarding or employees managed through other Remote services.
No global configuration: You must configure required fields separately for each country where you have employees. There is currently no global setting that applies to all countries at once.
How to configure onboarding fields
You can manage these settings directly from your Company settings.
Log in to your Remote account.
Navigate to the Company settings tab.
Select Onboarding fields.
Choose the specific country you wish to configure from the list.
You will see a list of all available HRIS fields for that country. Use the toggle next to each field to mark it as Required or Optional.
Click Save to apply your changes.
Once saved, any new Direct employee onboarding in that country will be required to complete the fields you have selected.
Common use cases
Here are three ways you might use this feature to optimize your onboarding:
Scenario 1: Minimal data collection. If your company prefers a lightweight onboarding experience, you can set most fields to Optional. This requires the employee to provide only the essential fields needed for payroll and compliance, speeding up the process.
Scenario 2: Comprehensive data requirements. If your organization has strict data policies, you can mark additional fields as Required to ensure you capture a complete employee profile from day one.
Scenario 3: Country-specific requirements. Because compliance needs vary by location, you can configure required fields differently for each country. For example, you might require specific tax ID fields in France that you do not require in Germany.
