This article explains how to connect multiple Xero organisations to Remote, map your Remote legal entities, configure tracking categories, and sync general ledger (GL) reports to Xero.
Connect multiple Xero organisations
When you first set up the Xero integration, you chose your primary organisation. If you want to map your legal entities to multiple Xero organisations, you have to first connect them to Remote.
To connect another Xero organisation:
- In the Xero integration, open the Settings tab.
-
In the Company structure section, select Connect another organisation.
- You'll be redirected to Xero.
- Select the organisation you want to connect.
-
Select Continue with [number] organisations.
Repeat these steps for each Xero organisation that you want to connect to Remote.
Map Remote entities to Xero organisations
Before you can sync general ledger reports, you must decide how your Remote legal entities map to your Xero organisations.
To configure entity mapping:
- Open the Xero integration Settings tab.
-
In the Company structure section, select Map entities.
You will be given an option to choose whether you want to map all Remote entities to a single Xero organisation (”all for one”) or to map each Remote entity to its own Xero organisation (”one for one”).
Map all Remote entities to one Xero organisation
Choose this option if you want every Remote legal entity to sync to the same Xero organisation. This setup is best for companies with a single Xero organisation or a simple accounting structure.
-
Select Map all Remote entities to the same organisation from mapping preferences.
-
Map all Remote entities to a single organisation in Xero and click on Save.
Map each Remote entity to its own Xero organisation
This option is for you if you want each Remote entity mapped to a specific Xero organisation. It is best for businesses with multiple Xero organisations or complex financial structures.
-
Select Map each Remote entity to their own subsidiary from mapping preferences.
-
Map each Remote entity to its corresponding Xero organisation.
Using tracking categories for report breakdowns
You can associate synced journal entries with Xero tracking options by mapping Remote departments to a Xero tracking category.
- If a tracking category is not yet created, in Xero, go to Accounting > Accounting settings > Tracking categories and create one.
- In Remote, open the Xero integration Settings tab
- In the Company structure section, select Map departments and ****map each Remote department to the appropriate Xero tracking option.
- Once you’ve mapped the departments to tracking options, you can open report format preferences by clicking Set up GL report format in the General ledger (GL) reports section and select Breakdowns by tracking option.
Syncing general ledger reports to Xero (Remote Payroll customers only)
Our integration can now sync the general ledger reports created by Remote after a successful payroll run as Journal Entries in Xero. This feature is currently only available to Remote Payroll customers.
Before you sync reports, complete the following setup in the Settings tab under Company structure and General ledger (GL) reports:
- Connect additional Xero organisations (if applicable)
- Map Remote entities to Xero organisations
- Map Remote departments to Xero tracking categories
- Map Remote GL accounts to Xero GL accounts
- Configure the GL report format
After completing the setup:
- Return to the Overview tab
- Click Select reports to view available payroll runs that can generate a report
- Choose the payroll runs you want to sync
Note that only payroll runs that are expected to be finalized and paid are the ones available for syncing.
Before syncing, you can download each report to review the amounts and report breakdown.
When you're ready:
- Select the checkbox for each report you want to sync
- Click Sync
- If the sync is successful, the reports appear as draft journal entries on the Manual journal entries page in Xero.
If a report is not syncing you can navigate to the Events History tab, where you'll be able to review the reason why this is failing.
