Tips to prepare employees' information for Payroll in Spain

We will need to gather all necessary employee details to be able to run an accurate payroll. Details that we will be asking will differ depending on taking over payroll from another provider or Remote EOR or starting payroll in the country for the first time.

a) New payroll

  1. Employees’ information
  2. Salary information
  3. Bank details
  • All employees must have a Spanish Social Security number to start employment. Document for employees to start the application.
  • Modelo form 145 must be filled in and signed by the employee
  • When an employee has a different Model (a special type of Modelo) We will request the Beckham certificate which is the certificate approving the Beckham application. Sample here.
  • ID document
  • Employee work contract

b) Transferring payroll from another provider or Remote EOR

  1. Employees’ information
  2. Salary information
  3. Bank details
  4. YTDs information We will request the Imputacion de costes (gross-to-net) report for the current and previous tax years.
  5. Employee leave balances The final number of leave days needs to be confirmed for all leave types at the end of the last month before moving to a new entity. For example, if you plan to go live in April with Remote Global Payroll, we will ask for the final leave balances and the end of March.

c) If an employee is a non-Spain citizen

  1. NIE (Foreigner Identity Number) is mandatory.
  2. Modelo form 145 must be filled in and signed by the employee
  3. A copy of ID and work permit
