When the details of an employee's salary changes, you can make bulk adjustments on Remote.
Step-by-Step Guide
Access the Bulk Data Edit tool
Navigate to Team in the left-hand menu, select the “Team Overview” option, click “Bulk Data Edits” and “Edit Employee Data”.
Select “My Company’s entity” and in the following page “I use Remote’s global payroll service”.
1. Upload document
Choose Legal Entity
Select the appropriate legal entity from the dropdown menu.
Prepare and Upload Your File
You can use your own .csv document or template to share the information. Make sure the column names are clear and easy to understand. This helps us map the data correctly.
For example, if you're updating a team member’s annual salary, your file should include a column for Employee Code and a column for Annual Salary.
| Employee Code | Annual Salary |
|---|---|
| CVCVRT | 100000 |
| GHTYNM | 200000 |
Click Continue.
2. Map fields
After you upload your file, you’ll need to match each column in your file to the right field in the platform. This step helps us understand where each piece of information should go, so it's important to review the column names carefully.
In some cases, the platform will auto-match columns if the names are very similar to what’s used in the system. If the names don’t match closely, you’ll need to map the fields manually by selecting the correct option from the dropdown.
If something was mapped incorrectly—for example, if you meant to map gross salary but the platform matched it to annual salary—you can fix it by selecting the correct field. The system will automatically remove the previous mapping, since each field can only be mapped once per column.
For example: on the template, the column header was “Employee”, and this was automatically mapped to “Employee Identifier” on the platform.
Once everything is mapped, click Confirm and Continue.
3. Review Data
Review the uploaded items and ensure that there are no errors before proceeding.
- This is a summary of all the changes that will take place.
- This screen will also indicate if any additional data is required before the changes can be made. For example: when updating an annual salary, an effective date is needed. The system will notify you if this date must be added.
- Any errors will be highlighted in red and you will be able to identify them in the columns, where a red triangle will appear with a number indicating how many errors that particular employee has. In order to proceed, all errors need to be corrected.
4. Confirm
In the next step, you need to confirm that you are ready to update the data. A summary with all the changes will show up. If you agree with all the changes, please click Confirm and Submit.
When will the changes be reflected in payroll?
The Remote Payroll team will process the changes in payroll, considering 2 important dates:
- Effective date of the change: Changes won’t be applied in payroll until the effective date. You can enter future salary or job title changes without worrying about forgetting to enter the details, or immediate processing.
- Input cut-off: Changes in salary or job title will need to follow the agreed payroll calendar and be entered in the platform by the agreed input cut-off to be processed timely.
For example, if March cut-off date is on March 18,
- A salary change entered on March 26 and effective date on April 1 will be processed by the payroll team on the first payroll run of April.
- A salary change entered on March 26 and effective date on March 1 will be processed by the payroll team on your first payroll run for April.
