How do I create a report manually?

Building a report manually gives you the most control. It is a good choice when you already know which data source, columns, and filters you need.

Before you start

You need the Custom Reporting permission to create reports.

Build a report manually

  1. Go to Reporting and Analytics and select All reports.
  2. Select Create report, then choose Create manually.
  3. Choose the data format for your report.

  4. Add the columns you want to include. Each column is a field from your data source.

  5. Select Run report to generate and download the full report.

Filtering your data

You can add any column in your report as a filter. The available options depend on the field type. For example, you can:

  • Match exact values with is and is not, or select several values with is any of and is none of.
  • Use greater than, less than, or is between for numbers and dates.
  • Use relative dates such as is in the last 30 days or is this month.
  • Check for blank values with is empty and is not empty.

Grouping and summarizing your data

Grouping helps you see totals and trends instead of individual rows. You can:

  • Group by one or more attributes, such as department, country, or cost center.
  • Apply an aggregation to each column, depending on the field type, such as sum, average, count, minimum, or maximum.
  • View subtotals and grand totals across your groups.
  • Group dates into monthly, quarterly, or yearly periods to spot trends over time.

Adding formula columns

If you need a value that is not already a field, you can add a formula column. Use the formula builder to create a custom calculation from existing columns, then include the result in your report like any other column.

Understanding field names

Field names can vary between data sources and products. If you are unsure what a field means, hover over it to read the tooltip and metadata description, which explain how each field is calculated or used.

A quick note on the preview

While you design the report, you see a sample preview of the data, not the full dataset. The complete results appear after you select Run report.
