When you open a team member's profile, Remote may show a banner suggesting that other profiles in your company could belong to the same person. This happens when someone has more than one profile, for example after a rehire, a relocation, or a conversion between contractor and employee, which can split their history (performance, expenses, documents) across profiles that don't appear connected.
The banner is only a suggestion. Nothing is linked, merged, deleted, or changed unless an account owner or super admin reviews it and confirms. This article explains what the suggestion means and how to act on it.
Who can link profiles
Only company owners and super admins can link profiles at this time.
How to link profiles
To review a suggestion and link profiles:
- From the team member's profile, open Manage profiles, then select Merge profiles. (Despite the name, this only links the profiles, it doesn't combine or delete any data.)
- Review the basic details shown for each suggested profile. Select View profile on any entry to see more detail.
- Select the profiles that belong to the same person.
- Select Confirm.
You can link profiles even if they have different roles or employment types, for example when a contractor converts to an employee.
If none of the suggested profiles belong to the same person, select None of the unchecked profiles are [name] to dismiss the suggestion.
Switching between linked profiles
Once profiles are linked, a work-history switcher appears on the profile so you can move between the person's linked profiles. The current or active employment is shown first, and the switcher is hidden if the person only has one profile.
Switching between profiles doesn't move any data, you're simply navigating between the person's existing profiles.
Linking currently only affects this switcher. Linked profiles still appear as separate records in Team Overview and other list views. Combining them into a single record is planned for a later release.
Frequently asked questions
Does linking merge or delete any data?
No. Each profile and its data stay exactly as they are. Linking only ties them to the same person so you can switch between them.
Will a linked or rehired person show up once in Team Overview?
Not yet. They still appear as separate records. Bringing them together in list views and reporting is planned for a later release.
Does Remote link profiles automatically?
No. Remote suggests possible matches, but a company owner or super admin must review and confirm before any profiles are linked.
Can I link profiles with different roles or employment types, for example a contractor who became an employee?
Yes. Conversions keep separate profiles, but you can link them under the same person.
What happens if I link the wrong profiles by mistake?
Unlinking isn't available yet. If profiles are linked incorrectly, contact Customer Care for help. Since this can't be undone yet, double-check the profiles you're selecting before you confirm.
