How do I view the breakdown per employee for my invoice?

  • Updated

The Invoice breakdown shows the charges that make up a Remote invoice. You can review every line item, group costs by employee or cost type, and export the view as a CSV or Excel file.

The same breakdown format is used across Remote products, so you do not need to learn a different report for each invoice type.

Open the Invoice breakdown

  1. Log in to Remote.
  2. Go to Payments & Compensations and select Remote invoices.
  3. Select and open the invoice you want to review.

  4. Select the Invoice breakdown tab.

Choose how to view the charges

Use the view selector above the table to switch between Detailed, Employee, and Cost type. Changing the view does not change the invoice. It only changes how the same charges are organized.

View What it shows When to use it
Detailed One row for each individual charge, including the employee, country, cost type, description, source amount, exchange rate, and invoice amount. Use this when you need the full line-item detail or want to reconcile a specific charge.
Employee One total per employee. Expand an employee to see their costs grouped by cost type. Use this to understand the total invoiced cost for each employee.
Cost type One total per cost type. Expand a cost type to see which employees make up that amount. Use this to review totals for categories such as base salary, employer contributions, benefits, expenses, or management fees.

Select the arrow beside a cost type to see the employees included in the total.

You can also search the table and filter it by country, invoice amount, and other options available for that invoice. EOR reconciliation invoices include a Billing type filter so you can separate pre-funding reversals from final actual charges.

Use the new employee and accounting fields

The Invoice breakdown includes fields that can help you match Remote charges to your own payroll and accounting records:

  • Employee ID: Remote's identifier for the employee.
  • External employment ID: Your own employee identifier, when one is saved on the employment profile.
  • Department: The employee's department, when available.
  • Cost center: The cost center code and allocation percentage assigned to the employment. If an employee has split allocations, the table can show more than one cost center.
  • Custom fields: Employment custom fields set up by your company.
  • Category and billing type: Extra context for supported invoice types.

Some columns are hidden by default. To change the table:

  1. Select the three-dot menu in the top-right corner of the table.
  2. Select Edit table.
  3. Choose the columns you want to show.

The breakdown keeps the employee and cost center values that applied when the invoice was generated. Changes made to an employment profile later do not rewrite an issued invoice.

Export the Invoice breakdown

You can export any of the three views from the table:

  1. Open Detailed, Employee, or Cost type, depending on the report you need.
  2. Apply any search or filters.
  3. Select the three-dot menu in the top-right corner of the table.
  4. Select Export CSV.
  5. Choose the columns, file format, and date format, then select Download.

The export follows the view you selected. Use Detailed for individual charges, Employee for employee totals, or Cost type for totals by charge category.

Use the Consolidated invoice breakdown report for more than one invoice

The Invoice breakdown covers one invoice. If you need to analyze charges across several invoices, products, or legal entities, use the Consolidated invoice breakdown report.

To open it:

  1. From the left-side menu, go to Reporting and Analytics and select All Reports.
  2.  Select Consolidated invoice breakdown report.

The report provides a line-item table across your company's invoices and legal entities. You can:

  • Select an invoice period of up to 12 months.
  • Filter by product, cost type, country, and bill-to entity.
  • Search by employee name, employee ID, cost type, or description.
  • Add or remove columns, including employee details, invoice details, cost centers, and employment custom fields.
  • Export the data as a CSV and select the columns you want in the file.
  • Turn on Excel support when exporting if you plan to open the CSV in Excel.

What replaces the itemized report?

The separate itemized report has been replaced by Export CSV in the new Invoice breakdown table. You no longer need to open a different report.

Select the three-dot menu in the top-right corner of the table, then select Export CSV. The export includes the information that was available in the itemized report. It also adds fields such as department, cost center allocations, external employment ID, and employment custom fields.

During the transition, you can select Use classic view on the invoice page to return to the previous breakdown and itemized report. Remote remembers your choice. The classic view remains available until January 2027.
