How to bulk upload time off requests for team members

This article explains how to upload time off requests to Remote when your team uses a different platform for logging time. This ensures accurate payroll processing. Users with the necessary permissions within Remote can bulk upload these requests.

Uploading Time Off Requests

To upload time off requests:

  1. Log in to the Remote platform.
  2. Go to Time off > Team absences.
  3. Click Add time off in the top right corner.
  4. Select Upload time off requests.

Choosing Your Upload Method

You have two options for uploading:

  • Direct CSV Upload: Drag and drop your .csv file or click "click to upload" to select it. This is the quickest method if you already have a correctly formatted file.
  • Using Remote's Template: Download Remote’s .csv template. Fill in the template with the time off requests. This is helpful if you don't have a ready-made .csv file (for example, if you need to export the data first).
  • When formatting the template, fill in the following fields:

    • Employee identifier (Column B): Enter your team member's email as registered with Remote, employment slug, or ID (e.g., ZS8FJ9)
    • Start date (Column C): Enter the start date of the time off in yyyy-mm-dd format
    • End date (Column D): Enter the end date of the time off in yyyy-mm-dd format
    • Partial time off (Column E): Select "TRUE" if the employee is taking partial time off; otherwise, select "FALSE"
    • Partial time off hours (Column F): If "Partial time off" is TRUE, enter the number of hours. The minimum is 1 hour, and the maximum is 7 hours
    • Time off type (Column G): Choose the type of time off from the provided list
    • Notes (Column H) (Optional): Add any relevant notes. These will be displayed once you upload the file. Notes must be text only and limited to 255 characters
  • Fill additional rows: Enter additional time off details by adding new rows.
  • Remove the top row: Before uploading, delete the first row, which contains instructions.

Mapping and Error Checking

  1. The uploader will scan your .csv file and display a screen for mapping.
  2. Carefully review the mapping to ensure it's correct. This step links the columns in your file to the correct fields in Remote. Example: Your CSV column labeled "Employee ID" should be mapped to Remote's "Employee ID" field.
  3. Click Confirm mapping.

Reviewing and Confirming

  1. Remote will check for errors. Review any errors reported by the platform. Example: If an employee ID in your file doesn't match an employee in Remote, you'll see an error message.

  2. After correcting any errors, the list of entries will be displayed. Example: You'll see a list of all the time off requests you're about to upload, including employee names, dates, and time off types.
  3. Review the list carefully.
  4. Click Confirm and add records to proceed.

Completion

The time off records have now been added for your employees. Payroll processing will now include these time off requests.
